Friday May 4th brings a massive change at Southern Ontario Fertility Technologies (S.O.F.T.) as we shift to an electronic medical record (EMR).
After achieving over A Pregnancy A Day since 2000 we’re ready to take our patient care to another level by offering our staff access to your information within minutes of stepping in our doors or calling us on the phone.
While there are huge benefits to the patients of SOFT, the adjustment by staff has been a mixture of excitement, stress and continuous learning since early January of this year.
We are asking our patients to be patient with us during this transition from paper charts to electronic charts. The process of monitoring your cycle, performing IUI’s, ultrasounds and meeting with our doctors won’t change dramatically for the patient; but it will for us. You may find that we adjust very quickly or you may find that we need a little more time with each patient until we’re back to our usual speedy delivery of healthcare services.
Monitoring hours will continue to be the same over the next week and we’ve added enough staff (busy or not) to help everyone ease into this transition.
Patients will need to help us by doing the following:
1. Please call with your Day 1 (of menstrual cycle) if you intend to monitor your cycle for intercourse or for IUI. We want to create an electronic monitoring sheet for you before you arrive to help save on time. Also we would like to call in medications ahead of time so if you need anything please leave the name & phone number of your pharmacy as well as what medications you would like called in.
2. Patients are asked to come in on Day 3 for all monitoring cycles to do Day 3 bloodwork and ultrasound (comfortably full bladder). If you forget to call on Day 1 it may just take us a little longer to get you into the system.
3. Please leave home or work for monitoring a little earlier to give yourself enough time should we be running a little slower than normal.
IVF patients will see no change to your routine for monitoring as we will be going paperless with you in June.
Patients with pregnancy ultrasounds also will see no change to how our afternoons run at the clinic.
Pregnancy test results and phone calls for IUI’s may be made a little later in the day than the usual 1:30pm – 2:00pm slot most patients have been used to expecting. We will still call (promise!), but obviously it may be taking us a little longer to work through everything before the day is done.
